At Ledgerment, we know the first few weeks of any new partnership matter most. That’s why we want to make your onboarding process as clear and predictable as possible—starting with the 5 W’s. Here’s what you need to know when partnering with us. 

Who Will We Use for the Accounting Systems? 

QuickBooks Online. Always. With possible exception of Xero. 
Ledgerment works with QuickBooks Online (QBO). Why? Because QBO gives us the flexibility, integrations, and real-time data access we need to deliver proactive support and scalable service. If you’re already using it—great! If not, we’ll help you migrate and get up to speed, fast. While QBO is our preferred platform, we can also support you on Xero. 

Ramp tracks the swipe, Bill.com takes care of the send and collect.
We use Ramp as our preferred platform for corporate card and expense management due to its automation, real-time visibility, and robust controls that support efficient financial operations. For accounts payable and receivable (AP/AR) management, we work with Bill.com, which provides strong invoicing and payment workflow capabilities.

What Will You Do with My Books?

Clean Up and Standardize Your Chart of Accounts. 

A clear chart of accounts is the foundation of meaningful financial reporting. We’ll restructure yours using an industry-tailored standard that ensures: 

  • Simpler categorization 
  • Consistent financial data 
  • Better insights, faster 

This gives you financial clarity—and us the ability to offer proactive guidance rather than reactive fixes. 

Where Will You Get Access to My Financials? 

Direct, View-Only Access to Your Financial Institutions. 

To work efficiently and accurately, we’ll request direct, read-only access to your: 

  • Bank accounts 
  • Credit cards 
  • Payroll portals (if applicable) 

No screen-shots. No email threads of PDFs. This setup lets us reconcile faster, stay ahead of issues, and reduce back-and-forth. 

When Will You Bill Me? 

Bi-Weekly via ACH.

We keep billing simple and consistent. You’ll be billed every two weeks via Automated Clearing House (ACH). No paper invoices. No surprises. Just smooth, recurring billing—so you can focus on your business while we handle the books. 

Why Not Do My Payroll In-House? 

Because You Deserve a Specialist—That’s Why We Partner with Whirks.

Payroll is high-stakes: it’s complex, compliance-heavy, and time-sensitive. Instead of handling it in-house (and risking errors), we’ve partnered with Whirks, a dedicated payroll provider who lives and breathes this stuff. You get: 

  • On-time payments
  • Payroll tax compliance
  • Peace of mind

And because we’re fully integrated with them, nothing falls through the cracks. That said, if you’re already using Gusto for payroll, we are able to support you there as well.
